Non-Employee Onboarding Checklist

Congratulations on your new appointment in the College of Agriculture! To help you complete your onboarding and ensure your records and access are set up correctly, please follow the steps below.

All individuals with non-employee appointments, such as fellowships or visiting scholars, are required to complete a non-employment form. This form collects important personal information such as your full legal name, address, date of birth, and citizenship or immigration status. Your onboarding coordinator will send the form to your email via DocuSign. Please check your spam or junk folder if you do not see it in your inbox.

To avoid delays in your system access, it is essential to complete this before your arrival or start date.

Background checks may be required for appointments not on payroll. If required, you will receive an email from a Recruitment Coordinator or Talent Acquisitions Team member with instructions. Please complete this promptly to avoid onboarding delays. For further details, please refer to the Background Checks section of the Faculty and Staff Handbook or the official policy here.

Your Purdue Career Account provides access to your @purdue.edu email and essential systems, including SuccessFactors, Purdue’s platform for employee self-service, timekeeping, time off, and more.

Activate your account at: https://www.purdue.edu/apps/account/AccountSetup

You will need your PUID and username to activate your account. If you do not have this information, contact the Ag Employment Center or your departmental business office.

After your account is created, please allow 48 to 72 hours for full access as systems update. When logging into a Purdue-protected application for the first time, you will be prompted to enroll in Duo, Purdue’s two-factor authentication system.

As part of your onboarding process, it's essential to review and update your personal and financial information in SuccessFactors to ensure accuracy. Please note that system access to these features will not be available before your first day.

Bank Information:

If you are receiving stipend or living allowance payments, please add your bank account information for direct deposit on your first day to avoid payment delays. 

Many deposits are rejected because employees enter incorrect account information. This often happens when the MICR number (the long number at the bottom of your checks used for direct deposits) is different from your account number. To avoid this, please check your direct deposit account details with your bank before entering them.

Additional Steps for Non-Citizens

Non-U.S. citizens may be required to complete Glacier, an online tax compliance system used by Purdue to determine tax residency status and withholding for international individuals. Please note that the Ag Employment Center is not involved in the Glacier process. You will receive instructions from the appropriate office depending on the type of payment you are receiving.

  • If you are receiving stipend payments through payroll, the Tax Department will contact you with instructions.
  • If you are receiving payments outside of payroll (such as a living allowance), your departmental business office or purchasing center will provide instructions. Do not send Glacier documents directly to the Tax Department for non-payroll payments.

As a non-employee, you are not required to have a Social Security Number (SSN). However, you may choose to apply for one if you wish. Helpful application information is provided below if you choose to apply.

If you obtain an SSN, please notify the Employment Center so your SuccessFactors record can be updated. You cannot update this yourself because you do not complete an I-9.
